Position Summary
We are seeking a highly organized and proactive Operations Manager to join our growing team. The ideal candidate will be responsible for overseeing all client projects and team operations, from lead inquiries through project completion, with a primary focus on project management, customer service, and operational excellence. Key Responsibilities
This is a full-time position, Monday through Friday, generally from 9:00 a.m. to 5:00 p.m. with peak hours often in the afternoon (2:00 p.m. to 5:00 p.m.) when projects wrap up. Key responsibilities include, but are not limited to:
- Client Relationship Management: Serve as the primary point of contact for clients, managing all communication from initial inquiry through project completion. This includes conducting consultations, coordinating project schedules, and ensuring a seamless and positive client experience.
- Operational and Project Coordination: Oversee the day-to-day logistics of the business, including scheduling and assigning team members to projects, confirming all job details with clients, and providing on-site project support as needed to ensure successful completion.
- Financial and Administrative Oversight: Manage the sales pipeline, create and send invoices and service agreements, and ensure timely payment collection and accurate financial record-keeping. Assist in refining standard operating procedures (SOPs) to enhance business efficiency.
- Team Support and Development: Supervise and support the team, addressing day-to-day issues, conducting employee reviews, and fostering consistent communication to ensure high-quality service. Assist with scheduling, provide guidance, and occasionally join projects to ensure operational efficiency and consistency.
- Product and Supply Management: Proactively manage all products and supplies, ensuring organizers are ready for every job with what they need. This includes measuring various spaces where products are needed in the client's home/business, online and in-store sourcing of products, ordering, tracking orders, maintaining a highly organized storage unit, and overseeing the entire lifecycle of products from shopping and delivery to returns and exchanges.
Qualifications
Must-Haves
- Administrative & Operational Experience: Experience in an administrative or operations management role, preferably in a small business or fast-paced environment. Proficient in office software (like Google Workspace or Microsoft Office).
- Project & Calendar Management: Expert-level skills in project and calendar management.
- Customer Service & Team Support: Have a demonstrated ability to manage client relationships from start to finish, ensuring a "white-glove" experience. Comfortable working both independently and with a team, providing support and guidance to others.
Nice-to-Haves
- Financial & Reporting Skills: Have experience with invoicing, managing sales pipelines, and financial record-keeping. The ability to generate and analyze reports on financial performance and operational updates is a bonus.
- Operational & Technical Proficiency: Experience in developing and refining standard operating procedures (SOPs) is a plus. May have prior experience with a CRM system for managing client information or with inventory management, including ordering and tracking products.
- Corporate Management Experience: Prior experience in a corporate setting is a bonus, as it may provide a structured approach to processes and systems.

- Must be willing to travel around SE Michigan as needed.

This includes guiding clients through the decluttering process and actively collaborating with team members, offering support, and receiving constructive feedback with a positive attitude.
- Project Execution: Arrive at each job prepared with a clear understanding of the work ahead. Execute all project logistics, including organizing product drop-offs/pick-ups and ensuring you have the necessary supplies. Be prepared to perform the physical tasks of the job, such as lifting up to 50 lbs, hauling donations and trash, and working in various indoor and outdoor conditions.
- Professionalism & Communication: Maintain clear, timely, and professional communication with clients and the team. Uphold a high standard of confidentiality and treat all clients with respect.
- Administrative & Marketing Support: Assist with marketing-related duties and other necessary administrative tasks as needed.
